Why the dispatcher is the bottleneck
Ask a flatbed carrier owner what stops them adding trucks. Many will say drivers. Some will say the dispatcher. One good dispatcher can only run so many loads before mistakes creep in.
Look at the dispatcher's inbox at 8 AM. Tender emails from shippers, each in its own format. A steel coil load that needs tarps and a specific securement. An oversize piece of equipment that needs permits in three states. A shipper asking where yesterday's load is. A driver texting about a delay at the dock.
The hardest part of the day is that all of it is urgent and most of it is reading. The dispatcher reads the tender, types it into the TMS, checks dimensions and weight against permit rules, works out tarping and securement, and answers status questions. The judgment, like which driver, which route and what to tell the shipper, gets squeezed into the gaps.
The owner feels that on the P&L. Tenders that sit too long go to another carrier. A missed permit detail can park a truck. And growth stops at the dispatcher's desk.
We want to help dispatchers, not replace them. They know the drivers and the shippers. That does not scale by itself, but it can be helped.
Tender extraction into the TMS
Claude can read a tender email and its attachments and pull out the fields your TMS needs: pickup and delivery, dates, commodity, dimensions, weight, special handling, tarp and securement notes. It drafts the load. It flags what is missing or does not add up, like a weight with no dimensions or a delivery window that looks wrong.
The dispatcher reviews the draft and accepts it. They read less and decide more.
A permit checklist that does not forget
For oversize and overweight loads, the rules differ by state. Your best dispatcher carries a lot of that in their head. Claude can check a load's dimensions and route against a checklist your team keeps, and draft what each permit needs. It points out which states the route crosses and what each one asks for, based on the rules you give it.
A person submits every permit. Claude does not file anything. Permits carry real consequences, and they stay with the people who answer for them.
Shipper status drafts
Check calls and status emails eat time. Claude can draft a status reply from what your TMS and driver updates already show. The dispatcher reads it, fixes what needs fixing and sends. The shipper gets a faster answer. The dispatcher keeps the tone and the relationship.
Where people approve
| Step | Claude | Dispatcher |
|---|---|---|
| Read tender | Extracts fields, flags gaps | Checks and accepts |
| Tarping and securement | Notes what the tender asks for | Confirms with the driver |
| Permits | Checks against your checklist, drafts | Submits |
| Driver and route | Can surface options from your data | Decides |
| Shipper status | Drafts reply | Edits and sends |
Every step that touches a customer, a driver or a regulator has a person on it.
Tools versus Claude on your process
Search results for flatbed dispatch today are mostly software products, some built for flatbed back offices. If one of them fits your freight, your TMS and your team, buy it. It will be quicker than any custom work.
| Choose a dispatch tool when | Choose Claude on your process when |
|---|---|
| Your tenders come in common formats the tool handles | Your shippers each send something different |
| The tool connects to your TMS out of the box | Your best dispatcher's judgment is the real asset |
| You want vendor support and a product roadmap | You want to own how it works and change it yourself |
Test either one on 20 of your own past tenders. Include the oversize loads and the messy emails.
Where we stand
We want to be plain about one thing. We do not have a client in this vertical yet. Our approved proof today comes from insurance work with THG, an independent agency in Wilmington, NC. At THG, an independent insurance agency in Wilmington, NC, comparing 150-page policies went from days to minutes, and a client proposal went from 5 days to 5 minutes. That is insurance, and we say so. The method is the same one we would use here: watch the best person, write down how they decide, and put that in every seat.
We are an Anthropic Partner, and we work in the systems you already run. If you want to see where your dispatch desk loses time first, our free Operating Diagnostic is a good start. More on how we approach carriers is on our industrial freight page.
