Steel service centers

AI for steel service centers, on the emails, remnants and certs behind every quote.

Claude helps a steel service center turn customer emails into clean orders, match coil and remnant stock to a request, find the right mill certificate and draft quotes faster. Your people check every order and approve every price. We have no steel client yet, and the Operating Diagnostic tells you whether it fits.

Buyer question

How can a steel service center enter orders from customer emails faster?

Claude reads each emailed purchase order or request and pulls out the customer, material, gauge, width, length, quantity and ship date. It fills those fields for an inside sales rep to check before the order is entered. Anything unclear, such as a missing temper or an unfamiliar abbreviation, is flagged instead of guessed.

Orders reach a service center as PDFs, spreadsheets, pasted text and the occasional photo of a handwritten list. One customer may describe the same product three ways. Claude maps each description to your item codes and that customer's usual shorthand, using their past orders as a guide.

The rep sees the extracted order next to the original email. A mismatch, such as a width your lines do not run, shows up before entry and not after the coil is cut. We would start with one customer group and a few weeks of real emails, and compare against the entry time you already know.

Buyer question

How does AI match coil and remnant inventory to a customer request?

Claude takes the requested grade, thickness and size and searches an export of your inventory for coils, plates and remnants that could fill it. It lists each candidate with heat or lot number, location and the material left after the cut. A person confirms, because only your floor knows what is really there.

Remnants often sit unsold because nobody has time to check them against every new request. One that fits a small order is stock you already hold, and selling it gives the floor space back. Claude checks the whole remnant list each time, which is tedious for a person.

The answer is only as good as the inventory data. If locations or dimensions are stale, Claude will suggest material that is not there. We would check how current your export is before building anything, and say so if it is not good enough yet.

Buyer question

Can AI find a mill cert or mill test report quickly?

Yes, when the certs are stored as files. Claude reads each document's heat or lot number, grade and customer reference, so a rep can ask for the cert behind an order and get the right file with a short note on what it shows. A person reviews it before it goes to the customer.

A mill test report ties a heat or lot to its chemistry and mechanical test results, and customers often need one with the shipment. Finding it usually means searching a shared drive by heat number and hoping the file was named the same way every time.

Claude can also compare a cert with what the order asked for and point out a difference, such as a grade or specification that does not match the purchase order. It reports what the document says. It does not certify anything, and a qualified person decides whether the material meets the customer's requirement.

Buyer question

How can a steel service center shorten quote turnaround?

Much of the wait is reading the request, checking stock and finding comparable past quotes, not setting the price. Claude does the reading and the lookup and drafts the quote with the sources it used. Your sales rep or manager sets and approves the price, so the hand-offs shrink and the judgment stays put.

Buyers seem to care about speed. Modern Machine Shop's 2026 Top Shops survey reports that shops that turn quotes around within a day report a 51% win rate on new business, against 41% for shops that take longer (source). It is a survey of machine shops and a correlation. We did not measure it, and we do not claim it as a Setanta result. We have no equivalent figure for steel.

For a service center, the first thing we would measure is the time between an email arriving and a quote going out. We would write down today's number first, so any change is compared with your own baseline.

What stays with your people

Claude drafts. A person decides.

  • Prices, discounts and credit decisions stay with sales leadership and finance
  • What is physically on the floor is confirmed by your people before anything is promised
  • Cert review and any quality sign-off stay with the person who owns them
  • Customer relationships and negotiation stay with your sales team

Where a mistake would cost money or a customer, a named person reviews the output before it leaves the building. We set up every workflow that way and write down who reviews what.

What we know and what we do not

No client here yet. The Diagnostic tells you if it fits.

Setanta has no published client among steel service centers, and we do not claim one. Service centers differ in their ERP, their inventory system and their product mix, and the quality of that data decides what is practical. The Diagnostic looks at your setup before any scope is written.

Our one published client story is THG Insurance, an independent agency in Wilmington, NC. It shows the pattern we look for: paperwork that sits between a person and a decision, with Claude put on the reading. The free Operating Diagnostic is where we find out whether your business has that pattern.

For how an engagement runs, see our approach, or contact us to talk it through. A service center quote and a dealer parts quote both start from a request that is incomplete until someone who knows the stock reads it. Parts quotes, service estimates and rental fleet replies are on AI for equipment dealers.

Questions

More questions from owners in this industry.

Does this work with the ERP or inventory system we already run?

It depends on the system and on how its data can be reached. Many workflows start with exports and documents you already have. The Diagnostic looks at what your system allows, and we say plainly where a workflow is practical and where it is not.

Will Claude set our prices?

No. Claude drafts the quote and shows the information it used. A named person sets and approves the price. We write down who approves what when we set up each workflow, so nothing reaches a customer without a person having looked at it.

Do you have steel service center clients?

No. Setanta's one published client story is THG Insurance in Wilmington, NC. This page describes what we would build, and the free Operating Diagnostic tells you whether it fits before you commit to anything.

What is the free Operating Diagnostic?

A free call (book a time) that looks at how your team works today. It finds where Claude would move your numbers first and the process worth fixing first, and says which package fits. If it is not the right time, we say so.
