Equipment dealers
AI for equipment dealers, on the quotes and claims behind the counter.
Claude helps equipment dealers with the paperwork behind the parts counter and the service bay: parts quotes that find supersessions and alternatives, service estimates built from technician notes, warranty claims assembled for the manufacturer, and used equipment listings written from inspection notes. Staff review each one. Setanta has no dealer client yet, and the Diagnostic tells you whether it fits.
Where Claude helps
The work that fills the week.
A dealership runs on lookups and documents: what part fits this machine, what was done to it last time, what the manufacturer will pay for. Each one is a slow read that Claude can speed up.
Parts quoting
Claude prepares
Claude reads the message, finds likely part numbers, notes supersessions and alternatives, and drafts a quote for the parts counter to confirm.
A person decides
A customer emails a model, a serial number and a photo of a worn part.
Service estimates
Claude prepares
From the technician's notes and the machine's history, Claude drafts the estimate: labor lines, parts and the explanation the customer needs to approve the work.
A person decides
The service writer checks it.
Warranty claims
Claude prepares
Claude assembles the claim from the work order and flags what is missing, so fewer claims bounce.
A person decides
Manufacturers want the failure described a certain way, with the right codes and supporting notes.
Used equipment listings
Claude prepares
Inspection notes and photos turn into a clear description for the website and the listing sites, with condition stated in the dealer's own terms.

Service history questions
Claude prepares
Claude reads the past work orders and gives the counter an answer in seconds.
A person decides
A customer asks what was done last spring.
Customer follow-up
Claude prepares
Quotes that went quiet, service reminders and seasonal maintenance notes get drafted for a person to send, instead of waiting for a free afternoon.

A closer look
Three workflows, step by step.
- A parts quote
- The request arrives as an email, a text or a photo. Claude pulls out the machine, the serial and the part, searches your parts data and notes where a number has been superseded. The counter reviews the draft, checks stock and sends it. The slow part, working out what the customer actually needs, is the part that gets faster.
- A warranty claim
- Claude reads the work order and the technician's notes, then writes the failure narrative the way the manufacturer expects. It lists missing fields, photos or codes before submission. A person submits it. The aim is fewer rejected claims and less time rewriting.
- A service estimate
- A technician's rough notes become a readable estimate with the reasons behind each line. The service writer adds pricing judgment and sends it. Customers approve faster because they understand what they are approving.
What stays with your people
Claude drafts. A person decides.
- Pricing, discounts and margin decisions stay with the parts and service managers
- Safety-related repair recommendations stay with the technician and service manager
- Warranty submissions are made by the person who owns the claim
- Customer relationships and negotiation stay with your sales and service staff
Where a mistake would cost money, a license or a relationship, a named person reviews the output before it leaves the building. That is how we set up every workflow, and we write down who reviews what.
Where to start
Three packages. Start wherever you are.
Start with Launch if
Your counter, service writers and sales staff are not using Claude yet, and you want everyone faster on email, quotes and notes.
Start with Build if
Parts quoting or warranty paperwork eats the most hours, and you want that one process rebuilt end to end around your parts data.
Start with Scale if
You already use AI inside the dealership and want to offer customers something new, such as faster quotes or a self-serve service history.
Everything runs in your own accounts. See the packages for how each one is done.
GTM engineering
GTM engineering for dealers: knowing who is about to buy.
A dealer's best prospects usually already run equipment. This is what we would build to reach them at the right time, described from how dealerships generally sell.
- ICP and personas
- We separate the fleet owner, the contractor and the municipal buyer, because each decides differently, and write the roles that sign for each.
- A 100-point score
- Fit compares an account with the customers you already keep. Timing looks for signs a purchase or rental is near, such as a new project or aging equipment in your own service records.
- Outbound a person reviews
- Each message opens with a real fact about the buyer's business. A person at the dealership reviews it before it sends, so no one is told something about their fleet that is wrong.
- HubSpot and the loop
- Quotes, replies and sales are recorded in HubSpot. Won and lost deals tell the score which accounts to prefer next quarter.
Setanta has no dealer client for GTM work and publishes no results. The system was built for Adaptive. Read what GTM engineering is or see the service and the city pages.
What we know and what we do not
No client here yet. The Diagnostic tells you if it fits.
Setanta has no published client among equipment dealers, and we do not claim one. Dealerships differ in the dealer management system they run, the manufacturers they represent and how clean their parts data is. The Diagnostic looks at your own setup before any scope is written.
Our one published client story is THG Insurance, an independent agency in Wilmington, NC. It shows the pattern: find the paperwork that sits between a person and a decision, and put Claude on it. The free Operating Diagnostic is where we find out whether your business has that pattern.
Questions
What owners in this industry ask.
How can Claude help a parts counter?
It reads customer requests in any form, including an email with a photo, finds likely part numbers and supersessions from your parts data, and drafts a quote. The counter confirms stock and pricing and sends it. The time saved is in working out what the customer needs.
Can Claude handle warranty claims?
It can assemble them. Claude reads the work order and technician notes, writes the failure description in the form a manufacturer expects and lists missing items before submission. A person submits the claim. The goal is fewer bounced claims and less rewriting.
Does it work with our dealer management system?
It depends on the system and how the data can be reached. Many workflows start with exports and documents you already have. The Diagnostic looks at what your system allows, and we say honestly where a workflow is practical and where it is not.
Do you have dealer clients?
No. Setanta's one published client story is THG Insurance in Wilmington, NC. This page describes what we would build for a dealership, and the free Operating Diagnostic tells you whether it fits before you spend anything.
Can Setanta help an equipment dealer reach new buyers?
Yes, in principle. We build an ICP, a score, researched and reviewed outbound and a HubSpot record in your accounts. We have no dealer client for GTM work and publish no results. The Diagnostic tests whether it suits your dealership.
What is the free Operating Diagnostic?
A free call (book a time) that looks at how your team works today. It finds where Claude would move your numbers first and the process worth fixing first, and says which package fits. If it is not the right time, we say so.
