Field guide
How to connect Claude to HubSpot, on data your team trusts.
Clean the CRM first, because Claude is only as useful as the records it reads. Then connect Claude to HubSpot through the HubSpot connector, which uses the Model Context Protocol (MCP), with read access first. Then set up the routines your sales, service and operations teams will actually use, in your own accounts.

What this is
Four pieces of work, usually done in this order.
Most HubSpot portals have a history. The first job is to find out what is in yours.
CRM cleanup.
Duplicate companies and contacts, free-text fields that should be pick lists, owners who left two years ago. We find these, agree what the clean record looks like with you, and fix them with Claude assisting the review.
CRM build.
Properties, pipelines and lifecycle stages set up around how you actually sell and serve, not around the default template. Reporting comes first: if nobody can name the report a property feeds, it does not get created.
Connector and MCP setup.
Claude connected to HubSpot, with permissions scoped to what each person needs. We set it up, test it against your data and show your admins how to change it.
Working routines.
The recurring jobs Claude does for each team, written down and tested: a weekly pipeline review, a meeting summary that lands on the right record, a service queue triage.
By team
What each team gets out of it.
- Sales
- Account and deal research before a call, a weekly look at deals that have gone quiet, call notes written to the right record, and drafts of follow-up for the rep to edit and send. Reps keep the relationship. Claude handles the reading and the paperwork.
- Service
- Incoming tickets summarized and sorted, suggested replies drawn from your own knowledge base for an agent to review, and a recurring list of the questions that keep coming back, so someone can fix the cause.
- Operations
- Data quality checks that run on a schedule, a record of what changed and why, handoffs between teams written up the same way every time, and the weekly numbers pulled together without a spreadsheet rebuild.
These are the kinds of routines we set up. Which ones belong in your business depends on how your teams work, and the Operating Diagnostic is where we find out. We do not have a published HubSpot client story yet, so this page describes what we would build, not results we have already shown.
Data and privacy
Your data stays in your accounts.
The approach is the same as for every Setanta engagement. The connection runs through your own HubSpot and Anthropic accounts, under your own vendor contracts and credentials. Anthropic does not use business and enterprise API traffic to train models by default. Check the terms on your own plan, and we will walk through them with your legal or IT lead if you want.
Inside HubSpot, we start with the least access that does the job. Claude reads first. Writing back to records is added for specific routines, with a person approving the change where the data matters. An admin can see what is connected and switch it off. If a record is wrong, Claude says so rather than guessing.
- Connector permissions scoped per user and per job
- Read access first, write access added routine by routine
- A person approves changes to records that matter
- Everything documented so your admin owns it afterward
The order to do it in
Five steps, agreed before anyone touches the portal.
- 1. Diagnostic
- The free Operating Diagnostic looks at how your team works today and where HubSpot data gets in the way.
- 2. Audit
- We read the portal: objects, properties, pipelines, workflows, duplicates and what the reports actually use.
- 3. Agree the number
- We pick the number that should move, measured against your baseline.
- 4. Clean, build, connect
- In that order, with your admin in the room, so the cleanup decisions are theirs.
- 5. Hand over
- Your admin and your team can run and change it. There is no licence and no seat count from Setanta.
We do not claim a HubSpot partner tier or certification on this page. What we offer is the work described here, delivered by our founder, who has run business systems inside companies rather than advising on them. If you need a vendor of a particular tier for your own reasons, ask us and we will answer plainly.

Questions
Asked before every first call.
Can Claude connect to HubSpot?
Yes. Claude can connect to HubSpot through a connector that uses the Model Context Protocol (MCP), so it can read your CRM records and, where you allow it, update them. Setanta sets this up, scopes the permissions, tests it on your data and teaches your admins to manage it.
Does our HubSpot data train Claude?
Anthropic does not use business and enterprise API traffic to train models by default. The connection runs through your own accounts and contracts, so you hold the terms. Check them on your own plan, and we will go through the details with your legal or IT lead.
Do you clean the CRM first?
Yes, before connecting or building anything on top. Duplicates, inconsistent fields and abandoned owners make any automation worse. We agree what a clean record looks like with your admin, fix the data with Claude assisting the review, and only then connect routines to it.
Which HubSpot teams does this suit?
Sales, service and operations teams at companies of 50 to 500 people that already use HubSpot. Sales gets research and follow-up drafts, service gets ticket triage, and operations gets data checks and weekly numbers without a spreadsheet rebuild.
Are you a HubSpot partner?
Setanta works on HubSpot as one of the platforms the work usually runs through, and is an Anthropic Partner. We do not claim a HubSpot partner tier or certification. If that matters to your buying process, ask and we will answer directly.
What is the free Operating Diagnostic?
A free call (book a time) that looks at how your team works today. It finds where Claude would move your numbers first and the process worth fixing first, and says which package fits. If it is not the right time, we say so.
HubSpot data getting in the way? Tell us what it looks like.
We will say what we would clean, build and connect first, or whether it is not time yet.
