Specialty distribution
AI for specialty distributors, on order entry and quoting.
Claude helps specialty distributors, including pool supply, with the work between a customer's message and a clean order: reading emailed and faxed purchase orders into order entry, quoting from cross-references, answering stock and lead-time questions and keeping product data current. Staff confirm pricing and availability. Setanta has no distribution client yet, and the Diagnostic tells you whether it fits.
Where Claude helps
The work that fills the week.
A distributor's customers send orders in every shape. The people who turn those into clean orders are skilled, busy and hard to replace, so their time is the thing to protect.
Order entry
Claude prepares
Claude reads each one, matches items to your SKUs, and prepares the order for an inside sales rep to check before it goes into the system.
A person decides
Purchase orders arrive as PDFs, emails, photos and notes.
Quoting
Claude prepares
Claude drafts the quote and flags where it is guessing.
A person decides
A request for a quote with unfamiliar part numbers or a competitor's references gets matched to your catalog.
Cross-references and substitutions
Claude prepares
When an item is out of stock or discontinued, Claude proposes equivalents from product data and manufacturer sheets, with the reasoning, for the rep to confirm.
A person decides
A named person reviews the output before it leaves the building.
Customer questions
Claude prepares
Claude drafts the reply from the order and inventory records for the rep to send.
A person decides
Where is my order, is this in stock, what is the lead time.
Vendor price updates
Claude prepares
Claude reads them, lines them up against your item master and lists what changed.
A person decides
Vendors send price changes in spreadsheets and PDFs that do not match each other.
Product data and safety sheets
Claude prepares
Spec sheets, descriptions and safety data sheets get summarized and cleaned for the website and for the counter, so staff can answer questions without hunting.

A closer look
Three workflows, step by step.
- Reading a messy order
- A pool builder emails a photo of a handwritten list. Claude reads it, matches each line to a SKU, notes unit-of-measure questions and drafts the order. The inside sales rep checks the matches and releases it. The rep's skill is spent on the exceptions instead of on retyping.
- A quote from a competitor's part number
- Customers often quote what they saw elsewhere. Claude looks across your catalog, cross-reference tables and manufacturer data, and proposes the closest match with a note on what differs. A rep decides what to offer and at what price.
- Keeping the item master current
- A vendor price file arrives in a different layout from last quarter. Claude maps the columns, finds the items that changed, and produces a list for a buyer to approve before anything is updated.
What stays with your people
Claude drafts. A person decides.
- Pricing, discounts and credit decisions stay with sales leadership and finance
- Orders are checked by an inside sales rep before they are released
- Product substitutions on safety-related or chemical items are confirmed by a person
- Vendor relationships and negotiation stay with your buyers
Where a mistake would cost money, a license or a relationship, a named person reviews the output before it leaves the building. That is how we set up every workflow, and we write down who reviews what.
Where to start
Three packages. Start wherever you are.
Start with Launch if
Inside sales, purchasing and customer service are not using Claude yet, and you want the whole team faster on email, quotes and lookups.
Start with Build if
Order entry or quoting eats the most hours, and you want that process rebuilt end to end around your own item master.
Start with Scale if
You already use AI inside the business and want to give customers something new, such as faster quotes or a better way to find the right product.
Everything runs in your own accounts. See the packages for how each one is done.
What we know and what we do not
No client here yet. The Diagnostic tells you if it fits.
Setanta has no published client in distribution, and we do not claim one. Distributors differ in their ERP, their product data and how orders reach them. Pool supply adds seasonal peaks and chemical items that need extra care. The Diagnostic looks at how orders flow in your business before any scope is written.
Our one published client story is THG Insurance, an independent agency in Wilmington, NC. It shows the pattern: find the paperwork that sits between a person and a decision, and put Claude on it. The free Operating Diagnostic is where we find out whether your business has that pattern.
Questions
What owners in this industry ask.
Can Claude do order entry for a distributor?
It can prepare it. Claude reads purchase orders in any form, matches lines to your SKUs and drafts the order, noting questions about units or items. An inside sales rep checks it before release. The rep's time moves from retyping to handling exceptions.
Does this work for pool supply distributors?
Yes, the workflows are the same: orders from builders and dealers, quotes, substitutions and vendor price files. Seasonal peaks make the time savings matter most in spring. Chemical items and safety data need a person to confirm any substitution before it goes to a customer.
Will it connect to our ERP?
It depends on the system. Many workflows start with exports, spreadsheets and documents you already have, and the order is released by a person into the ERP. The Diagnostic looks at what your system allows and we say plainly where a workflow is practical.
Do you have distribution clients?
No. Setanta's one published client story is THG Insurance in Wilmington, NC. This page describes what we would build for a distributor, and the free Operating Diagnostic tells you whether it fits before you spend anything.
What is the free Operating Diagnostic?
A free call (book a time) that looks at how your team works today. It finds where Claude would move your numbers first and the process worth fixing first, and says which package fits. If it is not the right time, we say so.
Run a distribution business? Tell us how orders reach you.
We will say what we would build first, or honestly, that it is not time yet.
